Quick answer
- Under about 30 chats a day and one person replying? The free Business App is enough.
- Want an AI bot, several staff, or orders going into your POS or sheet? You need the API.
- The API charges per message; the App is free.
Side by side
| Business App | Business API | |
|---|---|---|
| Cost | Free | Meta charges per delivered message |
| AI chatbot | No (only greeting and away messages) | Yes |
| Staff on one number | A few linked devices | Unlimited, through a shared inbox |
| Connect to POS, CRM, sheets | No | Yes |
| Bulk messages | Broadcast lists, limited | Approved templates, at scale |
| Green tick | Not available the same way | Possible for notable brands |
| Ban risk with automation tools | High if you use unofficial tools | None when used properly |
Signs you have outgrown the App
- Customers wait more than 5 minutes for a reply at busy times.
- Messages arrive at night and nobody answers until morning.
- Staff copy orders from WhatsApp into a sheet or POS by hand.
- Two staff are answering the same customer, or nobody is.
- You want to send order updates or reminders to hundreds of customers.
The danger zone: unofficial tools
Many Pakistani businesses try to get API features cheaply by using "WhatsApp bulk sender" or "auto-reply" tools on the normal app. These break WhatsApp's rules. Numbers get banned without warning, and the customer chats on them are gone. If you need automation, go official.
How to switch
Your current number can usually move to the API. It must be removed from the app first, so back up anything important. Then the number is connected to a Meta Business account and your bot or inbox software. Full steps and costs in WhatsApp Business API in Pakistan.
